What is the Bakery Inventory & Ingredient Cost Tracker?

The Bakery Inventory & Ingredient Cost Tracker is a bakery inventory spreadsheet built in Google Sheets. You list every ingredient once, with its unit, the price of a pack and the quantity you hold, and the sheet works out what each unit costs and whether stock is running low. A supplier tab and a purchase order area sit alongside it.

Running out of butter on a Friday, or discovering you bought flour twice, is the everyday cost of managing a bakery from memory. Bakery inventory management does not need to be complicated. It needs one list that is always up to date, a reorder point for each ingredient, and a record of what each supplier charges. That is what this tracker gives a home bakery or a small shop.

It is a focused tool. Orders, production and profit reporting belong to the larger Bakery Business Command Center, and recipe pricing has its own template. If your main problem is knowing what is in the cupboard and what to buy next, this is the right size of spreadsheet.

Who this bakery inventory list is for

It suits bakers who buy in packs and want fewer surprises on shopping day.

Made for

  • Home bakers buying ingredients in packs and bags
  • Small bakeries managing regular suppliers
  • Cake and cookie makers who want a clearer reorder routine
  • Anyone starting a home bakery who wants to know the real cost of each ingredient
  • Bakers who deal with several suppliers and forget who charges what

Where it stops

It tracks ingredients, stock and suppliers. It does not track customer orders, production batches or profit, and it does not scan barcodes or connect to a till. You update quantities yourself.

What is inside: 4 tabs for ingredients, stock and suppliers

Each tab has one job, so the workbook stays quick to update.

Start Here

Quick setup and input guidance, so you know what to fill in and which cells to leave alone.

Stock Tracker

Your ingredient list: quantities, units, pack costs and reorder points. It calculates cost per unit, shows stock status and builds a reorder list. This is the baking inventory list you will use most.

Suppliers

A supplier directory with contacts, order days, lead times and a price log, plus a purchase order area, so buying information lives next to your stock.

Settings

Business details, currency, supplier options and stock settings, so the template speaks your units and your currency.

Once you know your ingredient costs, pricing is the next step. The Recipe Costing & Builder turns ingredient costs into unit cost and a suggested price. For orders as well as stock, see the Bakery Business Command Center.

How to set a reorder point: a worked example

A reorder point is the stock level at which you buy more. A simple way to set one is to cover the ingredient you use between ordering and delivery, plus a small safety margin. Here is the arithmetic for flour, with example numbers.

Plain flourWhat the numbers say
$0.72Cost per kg from a 25 kg bag at $18.00
10 kgReorder point
4 daysFlour left at 1.5 kg a day with 6 kg in stock
Reorder point for one ingredient (illustrative figures)
InputExample
Pack size and price25 kg bag at $18.00
Cost per kg ($18.00 ÷ 25)$0.72
Average use per day1.5 kg
Supplier lead time3 days
Use during lead time (1.5 × 3)4.5 kg
Safety margin5.5 kg
Reorder point (4.5 + 5.5)10 kg
Stock on hand6 kg

With 6 kg on the shelf and a reorder point of 10 kg, flour belongs on the reorder list now. The tracker holds the reorder points you set and flags ingredients that fall below them, so you do not have to do this sum for every item each week. The figures above are examples, so use your own usage and lead times.

Set up your bakery inventory tracker in an afternoon

The first time takes the longest, because every ingredient needs a pack price and a unit. After that, updates take seconds.

  1. Buy and download

Pay at the secure checkout and the Bakery Inventory & Ingredient Cost Tracker download link is available immediately.

  2. Make your copy

Copy the template into your Google Drive from the link. Work in your own copy and leave the original untouched.

  3. Set your options

In Settings, add your business details, currency, supplier options and stock settings.

  4. List your ingredients

Add each ingredient to the Stock Tracker with its unit, pack cost, quantity and reorder point.

  5. Add your suppliers

Record contacts, order days and lead times in the Suppliers tab, and log prices as they change.

  6. Check the reorder list

Update quantities after each bake or delivery and let the reorder list show what to buy.

Count your stock once at the start so the numbers match the shelf. After that, update quantities when you buy and when you use an ingredient, and the status and reorder list stay honest.

Bakery inventory spreadsheet vs blank sheet vs software

Three common ways to manage bakery inventory, compared on what matters to a small kitchen.

Frequently asked questions

What is a bakery inventory spreadsheet?

A bakery inventory spreadsheet is a list of your ingredients and supplies with quantities, units, costs and reorder points. This template adds supplier details and a reorder list, so you can see what you hold, what it costs and what to buy next.

Is this the full Bakery Business Command Center?

No. This is the focused ingredient, stock and supplier tracker. Orders, production and profit reporting belong to the larger Bakery Business Command Center.

How does it calculate ingredient cost?

You enter the pack cost and the pack quantity for each ingredient. The tracker works out the cost per unit, so you can see what a gram, a kilo or a single egg really costs you.

Can I set my own reorder points?

Yes. The stock list includes reorder settings, so you track the quantities that matter for each ingredient. When stock falls below the reorder point, the ingredient appears on the reorder list.

Does it help with supplier information?

Yes. The Suppliers tab holds a supplier directory, a price log and a purchase order area, with contacts, order days and lead times alongside your buying information.

Is it good for a home bakery inventory?

Yes. It was designed for home bakers and small bakeries who buy in packs. A home bakery inventory is usually a few dozen ingredients, which is a comfortable size for one Google Sheet.

Does it track recipes or finished products?

No. It tracks ingredients and supplies, not recipes or finished goods. For recipe costs and suggested prices, use the Recipe Costing & Builder.

Do I have to update stock by hand?

Yes. Quantities are entered by you, and there is no barcode scanner or live link to a till. A quick update after each bake or delivery keeps the reorder list accurate.

Can I use this bakery inventory spreadsheet in Excel?

It is built for Google Sheets and delivered as a link, not as an Excel file. A Google Sheet can be downloaded as .xlsx, but formulas, dropdowns and charts may not all behave the same way in Excel, so the inventory tracker works best in Google Sheets.

What do I need to open the inventory tracker?

A free Google account is enough. The link opens a template that you copy into your own Google Drive, and the copy is the file you edit and keep.

Do I pay monthly for the inventory tracker?

No. You pay once, at checkout with Lemon Squeezy, and there is nothing to renew. The copy you make is yours to keep.
